SAfeguarding Policy

Tailored Learning Experiences Just for You

At Aintree Initiatives for Performing Arts (AIPA) we are fully committed to safeguarding and promoting the welfare of all children, young people, and vulnerable adults.

Our Designated Safeguarding Lead (DSL) is Silvia Rubio Velasco, who is the first point of contact for any safeguarding concerns. All staff and volunteers share responsibility for maintaining a safe, respectful, and supportive environment.

Safeguarding is everyone’s responsibility, and at AIPA it is central to everything we do.

Purpose

Aintree Initiatives for Performing Arts (AIPA) is committed to the protection of children, young people, and vulnerable adults. This policy establishes the safeguarding principles and procedures to be observed by all staff, trustees, volunteers, and associated parties.


Lead Responsibility

  • Lead Trustee for Safeguarding: Silvia Rubio
  • Accountable for the oversight, investigation, and reporting of all safeguarding matters.

Applicability

  • This policy is binding upon all staff, trustees, and volunteers acting on behalf of AIPA.
  • Partner organisations are required to maintain safeguarding procedures that meet or exceed the standards set forth by AIPA.
  • Safeguarding considerations are integrated throughout all organisational policies and procedures.

Principles

  • No child, young person, or adult shall be subjected to abuse, neglect, or exploitation.
  • All individuals associated with AIPA share a responsibility to promote welfare, safety, and dignity.
  • AIPA is dedicated to fostering a culture of respect and transparency, ensuring that concerns may be raised without fear.

Types of Abuse

  • Abuse may manifest as physical, emotional, sexual, financial, or institutional harm.
  • Neglect and self-neglect are recognised forms of abuse.
  • Exploitation, including risks associated with online activities, is encompassed within this policy.
    (Refer to Appendix 1 for detailed indicators of abuse.)

Reporting Concerns

  • Immediate danger or criminal activity: Contact emergency services by dialling 999.
  • Beneficiaries, service users, or members of the public: Report concerns to a member of AIPA staff, who will escalate the matter to a senior manager or the designated safeguarding lead.
  • Staff and volunteers: Report concerns to your supervisor or the Volunteer Coordinator. If this is not feasible, contact a trustee directly.
  • Trustees: Responsible for reporting serious incidents to the Charity Commission and other relevant regulatory bodies.

Responsibilities

Trustees:

  • Review and approve this policy on an annual basis.
  • Ensure full compliance with Charity Commission safeguarding requirements.
  • Promote a culture of safety, openness, and accountability within the organisation.
  • Oversee the completion of safeguarding risk assessments as part of risk management.
  • Ensure that all staff and volunteers with safeguarding responsibilities are subject to DBS checks and receive appropriate training, with records maintained accordingly.
  • Embed safeguarding requirements into recruitment, induction, job descriptions, appraisals, and training processes.

All Personnel:

  • Familiarise themselves with AIPA safeguarding procedures.
  • Attend safeguarding training as required.
  • Remain vigilant for signs of abuse and report concerns without delay.

Fundraising Safeguards

  • Adhere to the Code of Fundraising Practice.
  • Observe guidance issued by the NCVO and the Institute of Fundraising regarding the protection of vulnerable individuals.
  • Refrain from soliciting or accepting donations from individuals who are unable to make informed decisions.
  • Ensure that all fundraising materials are ethical, accessible, and free from undue pressure.

Online Safety

  • All staff, trustees, and volunteers are required to understand and implement measures to protect themselves and others in online environments.
  • Online services (including Zoom, social media, and websites) must employ secure settings and password protection.
  • Safeguards are in place to prevent children from accessing harmful or age-inappropriate content.
  • Personal data, images, and videos are managed in accordance with UK GDPR and with appropriate consent.
  • Clear procedures are established for reporting online concerns.

Collaboration with Other Organisations

  • Conduct thorough due diligence regarding the safeguarding practices of partner organisations.
  • Establish written agreements that define roles, responsibilities, monitoring, and reporting arrangements.

Review and Version Control

This policy shall be reviewed:

  • Annually by the Board
  • Following any safeguarding incident or legislative change
  • As part of safeguarding audits or investigations
